- WHAT INFORMATION DO WE COLLECT?
In Short: We may collect personal information that you provide to us directly; or that is collected automatically when you visit our Services, such as your Internet Protocol (IP) address and/or browser and device characteristics; or that we collect from public databases, marketing partners, social media platforms, and other outside sources where this collection is permitted by applicable data protection laws.
Personal information you disclose to us
We collect personal information that you voluntarily provide to us when you register for our Services, express an interest in obtaining information about us or our products and Services, when you participate in activities which form part of our Services, if you are a Partner who supports our delivery of our Services (e.g. as an ecologist), or otherwise when you contact us.
Personal Information Provided by You. The personal information that we collect depends on the context of your interactions with us and the Services, the choices you make, and the products and features you use or support us with. The personal information we collect may include the following:

Special category data / sensitive Information. We do not process any sensitive information or special category data within the meaning of applicable data protection laws, save for where you apply to us for a role. In which case, we may do so where permitted under applicable laws.
All personal information that you provide to us must be true, complete, and accurate, and you must notify us of any changes to such personal information.
Information automatically collected
Where permitted under applicable laws, we may automatically collect certain information when you visit, use, or navigate the Services. This information does not reveal your specific identity (like your name or contact information) but may include device and usage information, such as your IP address, browser and device characteristics, operating system, language preferences, referring URLs, device name, country, state/provincial/regional location, information about how and when you use our Services, and other technical information.
This information is primarily needed to maintain the security and operation of our Services, and for our internal analytics and reporting purposes. We may also use this information in aggregated form to monitor the performance of our Services and for marketing purposes. Aggregated data is used to create audience profiles to enable additional services to be tailored to such audiences. We do not use individualised data and only behavioural data to create profiles.
In relation to our services provided to a subscribed user, we may use GPS with your consent and other technologies to collect geolocation data that tells us your current location while using specific mobile applications to make better use of the services that require such location information for legitimate business use i.e. environmental field survey, vegetation management data collection etc. You can opt out of allowing us to collect this information either by refusing our access to the information or by disabling your location setting on your device. However, if you choose to opt out, you may not be able to use certain aspects of the Services.
Information collected from other sources
In order to enhance our ability to provide relevant marketing, offers, and services to you and update our records, we may, where permitted by applicable data protection laws, obtain information about you from other sources, such as public databases, joint marketing partners, affiliate programs, data providers, social media platforms, and from other third parties. We only use limited and specific data from providers following due diligence as to their data protection compliance and, where appropriate, user consent.
This information may include mailing addresses, job titles, email addresses, phone numbers, intent data (or user behaviour data), Internet Protocol (IP) addresses, social media profiles, social media URLs, and custom profiles, for purposes of targeted advertising and event promotion. If you interact with us on a social media platform using your social media account (e.g. LinkedIn, Facebook or X (formerly Twitter), we receive personal information about you such as your name, professional information, job title, employer company name and email address. Any personal information that we collect from your social media account depends on your social media account’s privacy settings – we only process data as noted above.

We process your personal information for a variety of reasons, depending on how you interact with our Services. We have set these out below, alongside our lawful bases for processing your personal data in accordance with the data protection laws of the European Economic Area (EEA), the United Kingdom (UK), and Switzerland (i.e., the General Data Protection Regulation, or GDPR):

In Short: We may share information in specific situations described in this section and/or with the following third parties.
We may need to share your personal information in the following situations (where permitted under applicable laws):
- Business Transfers. We may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.
- When we use Google Analytics. We may share certain aggregated information (how you have reached our website e.g. from a marketing advert, website link or e-mail link, we do not share your personal identifiable information) with Google Analytics to track and analyse the use of the Services. The Google Analytics Advertising Features that we may use include: Google Analytics Demographics and Interests Reporting, Remarketing with Google Analytics and Google Display Network Impressions Reporting. To opt out of being tracked by Google Analytics across the Services, visit https://tools.google.com/dlpage/gaoptout. You can opt out of Google Analytics Advertising Features through Ads Settings and Ad Settings for mobile apps. - When we use third party service providers for the purpose of enabling the use of our Services and improving the experience, such as:
- Analytics providers: We may share your information with these providers to track and analyse the use of our Services and improve your experience.
- Chat / conference facility providers (e.g. Zendesk Chat): We may share your information with third party communication providers whenever you use the chat functionality on one of our platforms to request assistance from us in using our Services or resolving your issues.
- Payment processors: We may share your information with third party payment processors to process the payment of order that you place with us.
- Customer relationship management platforms: We may share or transfer your information for marketing, tracking and monitoring purposes.
- When we use Google Maps Platform & Mapbox APIs. We may share your information with certain Google Maps Platform APIs (e.g. Google Maps API, Places API). We use certain Google Maps Platform APIs to retrieve certain information when you make location-specific requests. This includes: Site information for Biodiversity Gain panning; and other similar information. A full list of what we use information for can be found in this section and in the previous section titled “ HOW DO WE PROCESS YOUR INFORMATION AND (WHERE REQUIRED UNDER APPLICABLE DATA PROTECTION LAWS) WHAT LEGAL BASES DO WE RELY ON?”. We obtain and store on your device (‘cache’) your location. You may revoke your consent anytime by contacting us at the contact details provided at the end of this document.
- DO WE TRANSFER YOUR DATA INTERNATIONALLY?
In Short: We may share your data with third parties who may be based outside of your country or jurisdiction of residence. However, we adopt measures to help ensure your data is protected in these circumstances.
Some of our third-party suppliers or Partners may be based in a country or jurisdiction other than your place of residence. We adopt measures to ensure that your personal data will be given adequate protection in accordance with applicable laws. In particular, for EEA, UK, Switzerland and Quebec residents we take steps to ensure that the same level of protection is afforded to your personal data when it is transferred outside of the EEA, the UK, Switzerland or Quebec, as applicable, such as implementing specific contracts (e.g. standard contractual clauses) with our suppliers or transferring data to countries or jurisdictions that are deemed to provide an adequate level of protection for personal data under local laws.
Applicable laws in those other jurisdictions might permit foreign governments, courts, law enforcement, or regulatory agencies to access the information in those jurisdictions. In these cases, we will comply with applicable local law requirements relating to the conditions for disclosure or release of personal information.

- HOW LONG DO WE KEEP YOUR INFORMATION?
In Short: We keep your information for as long as necessary to fulfil the purposes outlined in this privacy notice unless otherwise required by law.
We will only keep your personal information for as long as it is necessary for the purposes set out in this privacy notice, unless a longer retention period is required or permitted by law (such as tax, accounting, or other legal requirements).
When we have no ongoing legitimate business need to process or store your personal information, we will either delete or anonymise such information, or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.
- HOW DO WE KEEP YOUR INFORMATION SAFE?
In Short: We aim to protect your personal information through a system of organisational and technical security measures.
We have implemented appropriate and reasonable technical and organisational security measures designed to protect the security of any personal information we process. However, despite our safeguards and efforts to secure your information, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorised third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information. Although we will do our best to protect your personal information, transmission of personal information to and from our Services is at your own risk. You should only access the Services within a secure environment.
- DO WE COLLECT INFORMATION FROM MINORS?
In Short: We do not knowingly collect data from or market to children under the age of majority in your jurisdiction of residence.
We do not knowingly solicit data from or market to children. By using the Services, you represent that you are at or over the age of majority in your jurisdiction or that you are the parent or guardian of such a minor and consent to such minor dependent’s use of the Services. If we learn that personal information from users less than this age has been collected, we will deactivate the account and take reasonable measures to promptly delete such data from our records. In Short: In some regions, such as the European Economic Area (EEA), United Kingdom (UK), Switzerland, and Canada, you have rights that allow you greater access to and control over your personal information. You may review, change, or terminate your account at any time.
In some regions (like the EEA, UK, Switzerland, and Canada), you have certain rights under applicable data protection laws. These may include the right (i) to request access and obtain a copy of your personal information, (ii) to request rectification or erasure; (iii) to restrict the processing of your personal information; (iv) if applicable, to data portability; and (v) not to be subject to automated decision-making. In certain circumstances, you may also have the right to object to the processing of your personal information. You can make such a request by contacting us by using the contact details provided in the section “14. HOW CAN YOU CONTACT US ABOUT THIS NOTICE?” below.
We will consider and act upon any request in accordance with applicable data protection laws.
If you are located in the EEA or UK and you believe we are unlawfully processing your personal information, you also have the right to complain to your Member State data protection authority or UK data protection authority.
If you are located in Switzerland, you may contact the Federal Data Protection and Information Commissioner.
Withdrawing your consent: If we are relying on your consent to process your personal information, which is express consent depending on the applicable law, you have the right to withdraw your consent at any time. You can withdraw your consent at any time by contacting us by using the contact details provided in the section “14. HOW CAN YOU CONTACT US ABOUT THIS NOTICE?“ below or updating your preferences.
However, please note that this will not affect the lawfulness of the processing before its withdrawal.
Opting out of marketing and promotional communications: You can unsubscribe from our marketing and promotional communications at any time by clicking on the unsubscribe link in the emails that we send, replying ’STOP’ or ‘UNSUBSCRIBE’ to the SMS messages that we send, or by contacting us using the details provided in the section “
14. HOW CAN YOU CONTACT US ABOUT THIS NOTICE?” below. You will then be removed from the marketing lists. However, we may still communicate with you — for example, to send you service-related messages that are necessary for the administration and use of your account, to respond to service requests, or for other non-marketing purposes.
Account Information
If you would, at any time, like to review or change the information in your account or terminate your account, you can:

Upon your request to terminate your account, we will deactivate or delete your account and information from our active databases. However, to the extent permitted by applicable data protection laws, we may retain some information in our files to prevent fraud, troubleshoot problems, assist with any investigations, enforce our legal terms and/or comply with applicable legal requirements.
Cookies and similar technologies: Most Web browsers are set to accept cookies by default. If you prefer, you can usually choose to set your browser to remove cookies and to reject cookies. If you choose to remove cookies or reject cookies, this could affect certain features of our Services.

- CONTROLS FOR DO-NOT-TRACK FEATURES
Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track (‘DNT’) feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage no uniform technology standard for recognising and implementing DNT signals has been finalised. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this privacy notice.
We use “Onetrust Privacy and consent management center “to manage cookie controls while browsing our website, you can choose to opt out of tracking by going to cookies setting and choose your preferences.

We will use and retain the collected personal information as needed to provide the Services or for:

Will your information be shared with anyone else?
We may disclose your personal information with our service providers pursuant to a written contract between us and each service provider. Learn more about how we disclose personal information to in the section, ’WHEN AND WITH WHOM DO WE SHARE YOUR PERSONAL INFORMATION?‘
We may use your personal information for our own business purposes, such as for undertaking internal research for technological development and demonstration. This is not considered to be ’selling’ your personal information.
We have not disclosed, sold, or shared any personal information to third parties for a business or commercial purpose in the preceding twelve (12) months. We will not sell or share personal information in the future belonging to website visitors, users, and other consumers.
Verification process
We may request that you provide additional information reasonably necessary to verify you and your consumer’s request. If you submit the request through an authorised agent, we may need to collect additional information to verify your identity before processing your request.
Upon receiving your request, we will respond without undue delay, but in all cases, within forty-five (45) days of receipt. The response period may be extended once by forty-five (45) additional days when reasonably necessary. We will inform you of any such extension within the initial 45-day response period, together with the reason for the extension.
Right to appeal
If we decline to take action regarding your request, we will inform you of our decision and reasoning behind it. If you wish to appeal our decision, please email us at privacy@aidash.com. Within sixty (60) days of receipt of an appeal, we will inform you in writing of any action taken or not taken in response to the appeal, including a written explanation of the reasons for the decisions. If your appeal is denied, you may contact the Attorney General to submit a complaint.

Canada
If you are located in Canada, this section applies to you.
We comply with the privacy legislation in the jurisdictions in which we operate.
We will only collect, use, communicate, and otherwise handle or process your Personal Data in compliance with applicable laws and regulations, including, without limitation, the Personal Information Protection and Electronic Documents Act (Canada), the Act respecting the protection of personal information in the private sector (Québec), the Personal Information Protection Act (Alberta), the Personal Information Protection Act (British Columbia), each as may be applicable to your situation.
We may process your information if you have given us specific permission (i.e. express consent) to use your personal information for a specific purpose, in situations where your permission can be inferred (i.e. implied consent), or as otherwise required or permitted by applicable law.
In some cases, we may be legally permitted under applicable law to process your information without your consent.
The purposes for which we collect and process your Personal Data will depend on the reasons which you are interacting with us and include, to the extent permitted by applicable laws, the following purposes:
- To process and administer accounts and payments in relation to the services and products you request/use and to resolve any complaints you may have;

- To process any orders that you have submitted and to send statements, invoices and payment reminders to you;

- To make payments to our subcontractors and/or consultants in relation to the services and products you request/use;

- To respond to user inquiries/offer support to users/respond to your inquiries and solve any potential issues you might have with the requested service;
- To send you information or marketing material that you have solicited from us, such as quotes, marketing material, newsletters and other related information;
- To respond to request for vacancies and for recruiting and hiring purposes;
- To improve our recruitment process and activities;
- To set you up on our systems as one of our dedicated Partners;
- To conduct data analytics and market research for statistical and survey purposes;
- For internal business administration;
- To maintain and improve our website, including verification and administration, statistical analysis to improve, test and monitor the effectiveness of the website, mobile application and AiDash platform, to monitor metrics such as total number of visitors and traffic data (including demographic patterns);
- To ensure content is presented in the most effective manner for you and to enhance your use;
- To identify usage trends;
- In connection with any merger, sale, transfer of our assets, investment, acquisition, bankruptcy or similar event or corporate transaction;
- To perform financial accounting functions including tax reporting to comply with applicable laws and accounting standards that AiDash adheres to;
- To help us improve and optimize our products and services;
- To protect the rights of AiDash and data subjects;
- Any other purpose as permitted by applicable data protection laws.

Be Informed | The right to be informed of the Personal Data we collect, use, communicate, or otherwise process about you and how we process it. We inform you; through this privacy notice, through information provided to you via policies and procedures and by answering your specific questions and requests when you contact us. |
Access | You may, at any time, request a copy of your Personal Data that AiDash may hold. |
Correction | You have the right to ask us to correct inaccurate Personal Data about you. If we do not resolve a challenge regarding the accuracy of your Personal Data to your satisfaction, we will annotate the Personal Data under our control with a note that the correction was requested but not made. |
Erasure | If you are a resident of the province of Québec, you have the right to ask us to erase Personal Data about you in certain circumstances. For example, you may have the right to ask us to erase Personal Data:
· that is obsolete; · that is not justified by the purpose of the file. |
Portability | If you are a resident of the province of Québec, you can ask for a copy of your Personal Data in a structured, commonly used technological format. You can also request that we transmit the data to another third party you designate, where technically feasible. |
Automated decision making | When we make an automated decision about you (i.e. a decision based exclusively on automated processing of your Personal Data, including profiling), we will only do so when allowed under applicable privacy laws and we will inform you about this. You will be given the opportunity to submit observations to a person who is in a position to review the decision. We will also, upon request, inform you of the information used to render the decision and of the parameters considered. |
Withdrawal of consent | You have the right to change your mind and withdraw your consent to future processing of Personal Data by writing to us at privacy@aidash.com. Your withdrawal of consent may mean that we are unable to provide certain services for which that information is necessary. Your withdrawal of consent will not affect the lawfulness of any processing of your Personal Data prior to the time you withdraw your consent, nor does this create an obligation for us to delete your Personal Data if we are otherwise allowed or required to retain it under applicable laws. |
Right to file a complaint | You have the right to lodge a complaint about AiDash’s practices with respect to your Personal Data with the supervisory authority of your province of residence. De-indexation | If you are a resident of the province of Québec, you have the right to request, in certain circumstances, that we cease disseminating your Personal Data or to de-index any hyperlink that allows access to that Personal Data by technological means, if such dissemination contravenes applicable law. |
We will take all reasonable steps to ensure that your request can be addressed within the time periods specified under applicable data protection laws.
Not all rights are absolute and there will be certain circumstances in which we are unable to fulfil the above rights. In all cases, we will provide you with a prompt response and a full explanation of our decision as required by applicable laws.
Australia and New Zealand
We collect and handle your personal information under the obligations and conditions set by Australia’s Privacy Act 1988 and New Zealand’s Privacy Act 2020 (Privacy Act).
If you do not wish to provide the personal information necessary to fulfil fulfil their applicable purpose, it may affect our ability to provide our services, in particular:
- offer you the products or services that you want
- respond to or help with your requests
- manage your account with us
- confirm your identity and protect your account
The purposes that we collect, hold, use and disclose personal information are set out in Section 2 of this policy under the purposes for which personal information is processed.
We may transfer your personal information to parties located outside of Australia, including in United States, India, and/or United Kingdom[insert countries].
